Hat Manufacturer in China: Custom Caps, MOQ & Buyer Guide
Choosing a hat manufacturer in China starts with a clear product brief. Compare factories against the same silhouette, fabric, logo, quantity and delivery terms; then approve a physical sample before production. HunterSourcing is a sourcing agent, not a hat factory. We can help buyers compare suppliers, coordinate sampling and arrange agreed inspection and logistics work within a written project scope.
1. Define the cap before requesting a quote
Choose a ready-made blank with decoration for a simpler trial, or specify a cut-and-sew style when shape, fit and branding need to be controlled. A baseball cap, trucker cap, bucket hat and beanie use different constructions. Clarify structured or unstructured crown, brim shape, panels and intended use before comparing offers.

| Specification | State in your brief | Evidence to approve |
|---|---|---|
| Style & shape | Cap, bucket or beanie; panel count, crown profile and brim | Profile photographs and measured sample |
| Fabric & colour | Composition, weight/GSM where applicable, colour reference and finish | Swatch, supplier material specification and test report if required |
| Size & closure | Head circumference range, snapback, strap or fitted sizes | Size chart, adjustment range and tolerance |
| Logo & trim | Authorised artwork, position, dimensions, embroidery or patch | Stitch-out, thread colour and placement approval |
| Packaging & quantity | Labels, bags or boxes; quantities by style and colour | Packaging proof, carton dimensions and written MOQ |
2. Compare MOQ, price and sample terms
The figures below are public supplier examples read on 30 October 2026, not verified factory offers or HunterSourcing prices. Conditions, materials, logo, currency and delivery terms differ; ask each supplier to requote your exact brief.
| Published example | Minimum and timing | What to verify |
|---|---|---|
| Hualingniao | 50 pieces per style; sample 8–15 days; bulk 24–30 days after sample approval | Colours per style, current material availability and artwork charges |
| Sweet Ocean | 100 per design per colour for its described custom cap route | Exact conditions, sample cost and packaging minimum |
| NanCrown standard cap | 50 per colour/style; US$6.20–7.70 each for 50–99, EXW Guangzhou; sample US$60–80 | Specified standard build only; freight, taxes and non-standard decoration need a current quote |
For a fair comparison, separate unit price from sample and digitising, packaging, inspection, service fees, freight, insurance, import duty and local delivery. Agree the named Incoterm and place, currency, quotation validity and payment beneficiary. A sample charge or low advertised minimum does not automatically include a mixed-colour production run.
Three purchasing scenarios
- New brand: test one colour and a sample before committing to a larger size and colour assortment.
- Promotional campaign: agree artwork approval and latest arrival date before ordering the full quantity.
- Retail replenishment: specify stable fabric, thread, fit and labelling, and confirm reorder availability and change approval.
3. Verify the manufacturer and the production route
Check the supplier’s business registration, contracting entity, production site and whether embroidery, washing or printing is subcontracted. Ask for a live walkthrough or an independent site visit when appropriate, and distinguish a factory, trader and sourcing agent. A website logo, old certificate or supplier profile does not establish the scope or quality of the actual order. Learn how our product sourcing service can help compare options.
4. Approve samples and artwork before bulk
Supply a reference sample or tech pack, vector artwork where possible, logo dimensions, stitch position and thread references. Approve fabric, shape, crown height, fit, sweatband, closure and packaging together. For 3D puff embroidery, check whether small lettering can be reproduced; a stitch-out on the intended fabric is more useful than a mockup alone. Label every approved sample and record any revision.

5. Agree inspection and correction steps
Agree the lot, sampling method, inspection level, defect definitions and acceptance limits before production. AQL is a sampling parameter, not a guarantee that every hat is defect-free. Depending on the project, inspect logo position, stitch integrity, crown and brim shape, fabric colour, seams, closures, measurements, labels, packing quantities and carton condition. Record photos and measurements against the approved sample and specification.
If only a limited, identifiable portion fails, the buyer may authorise release of the accepted portion while the supplier corrects the remainder and a reinspection is arranged. If defects are widespread, report the findings and seek the buyer’s instructions on corrective action and reinspection. Close the matter when the buyer accepts, rejects or otherwise decides in writing. Discuss a project-specific plan with our quality inspection team.
6. Plan compliance, payment and delivery
Requirements depend on the destination, wearer, product, materials and claims. Ask the responsible importer or qualified testing partner to identify relevant labelling, chemical and safety requirements. Verify the issuer, holder, scope and validity of any report; a management-system certificate is not evidence for every hat or batch. Do not claim recycled content, organic composition, UV protection or child safety without evidence for the actual product.
Compare T/T or other agreed payment options, deposit and balance milestones, inspection and reinspection responsibilities, claim deadline and remedies in the contract. Do not treat a competitor’s payment terms as our standard. Separate production time from courier, air or ocean transport; obtain route-specific freight, clearance and destination charges. See our logistics service for agreed collection and delivery support.

7. What to send with your hat enquiry
Send the hat type, reference photos, intended market, fabric and colour, target size range, quantity per colour, authorised logo and placement, packaging and required arrival date. Tell us whether you need a stock blank, private-label decoration or new construction. Agree in writing which supplier checks, sample coordination, inspection and shipping tasks are included, their fees, and who approves production and shipment.
Hat manufacturer FAQs
What is the MOQ for custom hats in China?
Ask for the minimum per style, colour, fabric and artwork as well as any separate label or packaging minimum. Examples published by manufacturers vary: Hualingniao states 50 per style and Sweet Ocean states 100 per design per colour. These are supplier claims, not a HunterSourcing quotation; confirm current terms and your precise specification.
Can I order a sample before a bulk hat order?
Ask for a physical pre-production sample made with your agreed fabric, decoration, closure and label where possible. Confirm digitising, sample and courier charges, revisions and which sample version the factory retains. A digital mockup alone cannot confirm fit, feel or embroidery quality.
How much does a custom cap cost?
Price depends on the design, quantity, fabric, decoration, labels, packaging and trade term. One supplier, NanCrown, publishes an EXW Guangzhou example of US$6.20–7.70 per cap at 50–99 units for its stated standard build; it is not a current quote for your design. Compare like-for-like written offers and add freight, duties and project fees.
What details should I include in a hat tech pack?
Include the silhouette, panel count, crown profile, brim shape, fabric composition and weight, colours, closure, head circumference, measurement points and tolerances. Add authorised artwork, placement and dimensions, labels, packaging, quantity per colour and intended market. Mark which details are essential and which can be substituted only with approval.
What is the difference between flat and 3D puff embroidery?
Flat embroidery stitches the design onto the material; 3D puff uses a foam layer to raise selected elements. Small lettering and close details may not reproduce well with puff. Request a stitch-out on the actual fabric and approve the size, thread colours, density, placement and finish before production.
How can I check the fit and sizing of a cap?
Provide a target head-circumference range and define where measurements are taken, including the closure adjustment range and tolerance. For fitted styles request samples across the required size run; for adjustable styles check fit at both ends of the stated range. A one-size label alone is not a fit guarantee.
How long do hat samples and production take?
Request a schedule tied to artwork, fabric and sample approvals, with separate estimates for revisions, bulk production, inspection and shipping. Hualingniao publicly lists 8–15 days for samples and 24–30 days for bulk after sample approval; other suppliers and designs differ. Confirm a written schedule for the actual order.
Which reports or certificates should I request?
The importer or qualified testing partner should identify requirements for the intended wearer, material, product claims and destination. Ask for traceable test reports for the actual materials and product where applicable, and verify the holder, scope and dates of any claimed certification. A factory management certificate is not a product test or proof of compliance for every market.
How can I verify a hat factory and avoid quality surprises?
Confirm the contracting company, actual production site and any embroidery or printing subcontractors. Compare samples, request the relevant audit or test documents, and agree measurable specifications, sampling method and defect categories. Photos or a catalogue do not prove current factory capacity or that your exact batch has been inspected.
What happens if hats fail inspection or do not match the sample?
Record the affected quantities, images, measurements and specification version. Agree correction and reinspection with the supplier. If only a segregated portion is acceptable, the buyer may authorise release of that portion while the remainder is corrected; if failures are widespread, report them and seek buyer instructions before reinspection. Close the issue when the buyer accepts, rejects or otherwise decides in writing.
